Receptionist
- Handle reception and night audit function.
- Man the Front Desk and record movement of
residents in the camp.
- First and last point of contact with residents
in the camps/needs to be well groomed polite
and listen to guests.
- Responsible for the rapport between guest
and the coordinating departments. Should ensure
he understands the requirements and the same
are delivered to the clients.
Primary role of a receptionist is to make a
customer feel welcome and to ensure his queries
about the camp are answered.
- Ensure customers are not kept waiting and
to attend to them promptly.
- Answer all incoming calls politely and follow
telephone etiquettes.
- Take messages for guests in house and leave
a copy of the messages in the room.
- Accurate recording of all check in clients.
- Sell rooms as per the pricing policy of the
company for all walk in clients.
- Ensure accurate records are maintained for
check in and out signatures of all clients for
a minimum of one year.
- Ensure cash records are maintained accurately
and cash collected is handed over / deposited
as per company procedure.
- Ensure familiarity with all night audit functions
and ensure all jobs are carried out accurately.
This includes:
- Updating the JD Edwards Staff Inn module
and batch processing of all records for
revenue postings.
- Updating all extra charges incurred by
clients on the Staff Inn module.
- Checking all cash clients for amounts
due.
- Verifying check in/check out reports daily.
- Preparing daily man-day records for client
approvals.
- Maintaining & filing records as per
company requirements.
- Ensuring camp occupancy records are verified
by the coordinators from companies.
- Manning the Front Desk and coordinating with
security to ensure that no-one is checks out
without reporting to Front Desk. Delivering
customer baggage to the room. Check In and Check
Out Clients, Telephone handling, Night audit
functions.
- Record Keeping for invoicing, Assisting Customers
