Reservation Coordinator
Our SBU, the Industrial Catering, Facility Management
Services and Accommodation Services based in Al
Khobar, Saudi Arabia, requiring enthusiastic professionals
to strengthen their team to provide a world class
service to their customers. The selected candidate
will:
- Centralize the reservation process to ensure
all clients reserving rooms have valid contracts.
- Maintain the Camp and room status and periodically
review the same.
- Update the system daily with reservations
received for all locations from all clients.
- Confirm/regret if space is not available in
camps.
- Maintain records of reservations for all camps.
- Verify the eligibility of customers valid
contract, purchase order, etc.
- Collect cash if customer wants to pay in advance
from cash clients.
- Maintain the camp ID, Room ID and bed status
of all camps – no changes authorized at
the location.
- Process daily reports and inform Sales manager
and Division Manager of reservation trends.
- Liaise with all locations for reservations
made.
- Follow up on cancellations and establish the
reasons for the same.
- Coordinate with all companies who are checking-in
in Labor camps without prior reservations.
- Follow up with the person making reservations
in case of no shows.
- Update database of client folios and ensure
that the records are accurately maintained and
non-required folios are deleted.
- If required to deal with agencies for reservation
and for commissions.
- Update client data contract details, invoicing
details, addresses for invoicing on the system.
- Following up on reservations made without
purchased orders and contacts and ensuring the
same is received prior to check in.
- Assist in the absence of business coordinator
in Correspondence with clients, maintaining
records.
- Helping in creating contracts if required
for clients.
- Coordinating reservations from clients with
all locations in Staff Inn.
- Defining and maintaining update camp status.
- Maintaining guest folios updated
